Oak Barn is an award-winning eco venue dating back to 1607, set in a gorgeous valley in the heart of Kent’s High Weald Area of Outstanding Natural Beauty, yet only an hour away from London.

There are three stunning and uniquely distinct barns (the Oak Barn, the Byre and the Pole Barn), as well as gorgeous garden areas, a pond, terraces and a courtyard, and luxurious accommodation in Weaver’s Cottages. The entire farm is exclusive to couples and their guests, and is perfect no matter the season.

Owners Deana and Tim elaborate on their sustainability ethos: “Our environment and creating a sustainable business and venue was of paramount importance to Tim and I, and so we constantly strive to be as eco-friendly as possible. We recycle, upcycle, reuse and choose sustainable products. We also only recommend local suppliers, or ones that offset their carbon. We also love planting a tree at the farm for each event that we host at the farm.

Deana and Tim own the farm and live in the main farmhouse. Deana hails from Hong Kong and has a mixed Chinese/English heritage. Diversity and inclusion are therefore of great personal importance to them both.

  • They are one of the few venues that are wheelchair accessible in all areas, and one of their Wedding Cottages is also wheelchair accessible

Oak Barn boasts four versatile reception spaces within the sustainable farm:

The Oak Barn

A stunning Grade II listed threshing barn stands as the estate’s centrepiece, and is a popular option for large weddings. Its gorgeous high-vaulted roof, exposed beams and floor-to-ceiling glass doors accommodate up to 135 guests for ceremonies, 135 for formal dining, and 200 for evening receptions. Hidden in the fabric of the building is a high-tech light and sound system, and it’s perfect in all seasons due to the air conditioning system, underfloor heating and wood burner.

The Byre

The Byre is an adaptable space with floor-to-ceiling glass doors that bathe the interior in beautiful natural light and flow onto the terrace and into the charming sheep field. This elegant location accommodates 100 guests for ceremonies, 60 for formal dining, and 100 for relaxed evening receptions.

Pole Barn

Steeped in rustic charm, this large open-fronted barn and wood store is stripped back and more understated in style, but also decked in pretty fairy and festoon lights, and is home to a fabulous 1956 Fordson Major tractor. Retaining the character of its humble origins, it is the venue’s most versatile events space, providing the perfect backdrop for a laid-back ceremony and drinks reception, as well as joyous garden games and romantic couples’ portraits.

The Byre’s Terrace

This is a magnificent option for an outdoor wedding ceremony, offering the perfect place to exchange vows and relax with loved ones, gaze at the glorious sunset over the Kent countryside and the lily pond, and tune in to nature.

Onsite accommodation

Unlike many other barn venues, Weaver’s Cottages offers luxurious onsite accommodation where couples can relish a few extra days with their loved ones. Staying at the farm will ensure the perfect start to your wedding celebrations. You’ll have plenty of time to settle in, unwind, and really make the most of the magical setting, surrounded by your closest friends and family members.

Deana was introduced to weddings when she started working in hotels in Asia, and loved everything about them. In her own words:

“When Tim and I first saw Frame Farm we fell in love with it and knew that it could be transformed into a breathtaking venue surrounded by sheep fields, for couples to create a bespoke wedding that would reflect them as a couple. It took a three and a half years’ renovation project to give the farm a new lease of life. We watched our ideas turn into a beautiful reality. Our vision was to create a venue where our couples could curate a dream day or multi-day wedding, within an eco and sustainable environment. Then on 2 February 2019, whilst the sun glistened on the snow, we hosted our first wedding.”

Deana continues: “It is a joy coming to work each day and the satisfaction is immense. We love seeing all our couples’ plans and styling come together on their wedding day, and witnessing the pure love and joy as our couples celebrate one of the most amazing occasions of their life with their friends and family. It always makes my heart swell! So many of our couples stay in touch, eagerly share their wedding photos and videos with us, and come back to stay for their anniversary, or return for their children’s naming ceremonies – which means so much to us. We pride ourselves on building the most caring relationships with our brides and grooms, who ultimately put their trust in us.”

We asked Deana and Tim to share their most memorable wedding to date, and any particularly unusual or fun experiences. They share:

“Each wedding at the farm is so unique that it is so very hard to choose, and this is what makes Oak Barn, Frame Farm, so special. We do love seeing what transport our couples will arrive in – from classic buses and cars to a truck cab and sports cars. We must admit that witnessing couples landing by helicopter in the field next to The Byre’s terrace for their Grand Entrance into their ceremony, has certainly been unforgettable, both for ourselves and their wedding guests.”

Having the farm turned into an “English Fayre” with Morris dancers in the Pole Barn, and archery, axe throwing and wild bird displays in the fields was also a particularly memorable moment for the owners. 

They also revealed that The Pole Barn is the most versatile space where couples can go wild with some incredibly fun ideas. These include:

The cost can vary depending on several factors, such as the time, date, package, and even which local council oversees your chosen registry office. And, of course, how much you spend overall will entirely depend on your own preferences, including what you spend on your outfits, transport, rings and whether or not you have an evening reception.

That said, a registry office wedding is by far one of the cheapest options, which makes it a great choice if you’re getting married on a budget.

1. Choose the right registry office

If you live a similar distance from more than one registry office, contact each of them to check how much a ceremony costs. This is especially important if they’re in different counties, as this can affect the price. You can find your nearest registry offices on the government’s website. Of course, you’ll have to bear in mind travel times and costs: choosing the cheapest option might not always be the most cost-effective in the long run.

Another point to consider is whether you’ll have the option to have the ceremony in the registry office or a specific ceremony room, which is often slightly larger and can accommodate more guests. These rooms can cost an extra £200 or so, so if you don’t need the space for guests then it might be an unnecessary expense.

2. Choose the right season, date and time

As we pointed out earlier, the season, date and time of your wedding will affect the cost. If you choose to get married during peak times, for example during the early afternoon on a Saturday in the summer, then it will be more expensive than if you were to get married on a weekday in the winter. If you can, consider getting married midweek to keep the costs down. This will also help you save costs when it comes to other vendors.

3. Keep things intimate

Registry offices are often small and private, which is why they’re perfect for intimate weddings. It might be tempting to invite dozens of people, but if you do that you’ll have no choice other than to pay for a larger space.

Be brave and keep your guestlist to only your closest family and friends. This might upset a few aunts and uncles, but you can invite them to join you afterwards for a nice meal, or to the evening reception if you choose to have one.

4. Forgo additional decor

A registry office isn’t a grand and elaborately decorated venue, so it can be tempting to want to decorate it so it fits your style and taste. However, this will bump up the cost. Why not embrace simplicity and go for a minimalist style? That way you’ll have more budget to dedicate to other parts of your day.

Because registry office weddings aren’t as big as other weddings, you could save a lot of money by buying off-the-rack outfits. And just because you’re buying off-the-rack doesn’t mean you won’t all look amazing – you simply won’t spend nearly as much money. Plenty of online retailers offer wedding outfits for brides and grooms which are smart, elegant and cost a fraction of the amount of designer or custom-made outfits. The quality and level of service naturally won’t be quite the same, but if keeping costs low is your no. 1 priority, then this is a great affordable option.

6. Keep flowers to a minimum

You may want bouquets, boutonnières, corsages and floral accents, but if you’re trying to save money, try to keep the number of flower arrangements you have to a minimum. Wedding flowers are justifiably very expensive, so the costs can very quickly add up.

To save money, choose arrangements which include in-season flowers and a lot of green foliage. For something a little more unique (and long-lasting), you could even have paper craft flowers or a dried bouquet.

7. Keep the reception small and simple

It probably doesn’t seem right to head straight home after your wedding, does it? Instead, you’ll more than likely want to have a reception so you and your family can celebrate your marriage into the night.

Try to keep things small. One option is to have an intimate meal at a restaurant, then head to a local pub for a few drinks afterwards. If you want to keep things private, choose a pub with function space you can hire for around £500. Just be mindful that during peak times that cost can be much higher. Don’t be tempted to offer your guests free drinks for the night, as this can add hundreds to your cost, depending on how many you invite.

8. Remember to DIY where you can

If you’re on a tight budget, and are prioritising cheap and affordable over bespoke and luxury, do things yourself in lieu of enlisting the services of a quality but also costly professional. This includes your invitations, decor and favours, which aren’t the most expensive things you’ll have to pay for but will still bump up the overall cost of your big day.

Do note, however, that aside from the DIY approach not matching the quality of professional wedding services, you will need to factor in the added time and extra responsibility to source all these materials yourself and put everything together. One of the great joys of outsourcing to a professional is peace of mind – the knowledge that you’ll have what you want on your big day exactly when you want it, without having to worry about all the moving parts that go into making gorgeous custom creations. 

9. Hire a photographer using an hourly rate

Even though you’re not planning an extravagant wedding, you’ll probably still want photographs to help you remember it forever. While photographers usually offer set packages, they’re often open to hearing if you have specific requests. So, why not ask them if they’ll shoot your wedding for an hourly rate, instead? That way, they can take pictures at your ceremony but it won’t cost nearly as much as a set package.

10. Beg, borrow, rent

There’s nothing to say you have to outright buy everything you use for your wedding day. If there’s something you need but can’t afford brand new, why not ask a close friend or family member if you can borrow it instead? This includes anything from table linen to a veil.

Another option is rental, which is a fantastic alternative to buying something. For example, you can rent a suit for as little as £50 a day, which can be more than a third of the price of buying one. Just be mindful of return policies so you’re not fined for returning it late.

11. Keep your cake small but sweet

A wedding cake can be another chunky expense – understandably so, as it’s edible art – so keep costs down by choosing a smaller cake with a simple design. One great option is to choose a cake from a supermarket, such as M&S, which offers a range of affordable wedding cakes.

A great way to save money, and give your loved ones a role to play in your special day, is by assigning everyone something to do. This could include:

  • Transport – Why not ask someone you know to be your chauffeur for the day to help you get to and from the registry office?
  • Music – We all know someone who has a huge music collection or is skilled in the guitar, so consider having them play or perform at your wedding.
  • Beauty – You could ask a talented friend, or one of your bridesmaids, to do your hair and makeup before the ceremony (though this isn’t without its risks – read our post on demystifying bridal beauty costs to learn more)
  • Videography – Most people have a smartphone, so you could ask someone you trust to record the ceremony for you (again this isn’t without its drawbacks, and is unlikely to match a professionally-shot and edited film)

Supplier Showcase: Veganuary Edition

Sustainable and ethical weddings are on the rise. Back in the day, very few venues and suppliers would cater for such requirements, or when they did, would do so with little creativity (cue sad stuffed mushroom and limp lettuce leaf). But now, there’s a demand amongst today’s couples for more locally sourced, ethical menus, as well as vegan and cruelty-free wedding choices. And so, celebrate the month of Veganuary, we’re showcasing our favourite vegan venues and suppliers.

1. The Wellbeing Farm

The Wellbeing Farm is one of our favourite sustainable wedding venues…period. It offers a fun, unique farm-based barn experience, is the first B Corp certified venue in the UK, and has just become members of the Sustainable Restaurant Association (which you can’t enter if you haven’t got sufficient vegan and other dietary credentials). Their general ethos is around wellbeing, and minimising stress for its couples. And ensuring every single one of your guests has a creative and tasty meal – whether they’re vegan, gluten-free or lactose-free – is a huge part of that. Their innovative Head Chef sources natural, local produce to create vegetarian and vegan menus that are big in both quality and taste, and even went on a course specialising in vegan desserts (so no more lonely fresh fruit salads!). A lot of venues may offer a single vegan option, but this vegan-friendly venue prides itself on offering a range – a range of starters, a range of mains, a range of desserts. So you’ll be spoilt for choice! For the meat lovers out there, they use Meatless Farm and Beyond Burger as meal substitutes, so you’ll hardly notice the difference.

2. Wilderness Weddings

Stylish and sustainable, relaxed and boho, there’s so much to love about Wilderness Weddings. Set in a protected nature reserve, it features woodlands, giant tipi tents, and a lakeside boathouse. Two veggies unable to stomach another bean burger, Matt and Ross, a.k.a. The Hogless Roast, have reimagined the traditional hog roast for a new generation, whether you’re a vegan or simply trying to reduce your meat consumption. Their smoky BBQ vegan burgers use the best plant protein out there – lathered in apple sauce, topped with homemade stuffing, and loaded into a toasted vegan brioche bun. Hello I’m Kiera…
I’m a lover of gin and our unofficial wedding cake taster. I always enjoy a piece of cake with my morning coffee the day after a wedding! I’m also the owner of resident hound and team mascot, Frankie Sausage. You’ll usually find me dashing about in flats, there’s a reason I wear a step counter! And one thing you might not know, I have locked myself in the wedding garden at least 5 times (just this year!), which has meant having to climb over a very tall gate to get out!

What drew you to the wedding world?

Having worked in the corporate events world in London for 10 years, I felt the pull to return to Norfolk where I grew up. I missed the drive and challenge of being involved in the family business. Due to my events background, my Dad asked me to take on the management of Applewood Hall and its sister business, Applewood Countryside Park (family camping and glamping). Four years on and I haven’t quite found the work/ life balance I was hoping for but I wouldn’t change it. Helping couples plan the wedding day of their dreams and seeing it all come together is so rewarding. There’s no job quite like it!

What do you think makes Applewood Hall unique?

Applewood Hall is located right next to the award-winning family attraction Banham Zoo. So if couples fancy something a little bit different, whether it’s a giraffe feeding experience, private Bird of Prey display, a ceremony within the zoo grounds or photos with some of the stunning animals – anything is possible!

How do you get to know your couples before the big day?

When couples make a booking with us, we start with a planning meeting as it really helps us get to know our couples; along with their style, how they picture their perfect day and what we can do to make it happen. This process really helps to pinpoint the small things that will make their day feel extra special and unique to them. For example, we have recently introduced bespoke cocktails and mocktails, offering couples the opportunity to choose seasonal flavours, favourite ingredients and personalise the cocktail names so they tie into their theme or tell a story!

What do you think makes for the perfect wedding?

Fun, laughter and a tipple or two. It’s that simple!

What is your #1 wedding planning tip for couples?

It’s YOUR day, so don’t be afraid to be a bit selfish when it comes to things like your menu choices, drink selection and seating plans. Prefer to have canapés during your drinks reception rather than a starter, why not! If you want an indulgent, gooey chocolate dessert, go for it! If you’d prefer to have a classic G&T rather than bubbles for the toast, do it! If you want the seating to be more informal with no seating plan, be bold! These small things will help your day feel special and unique to you.

What’s the best photo spot at Applewood Hall?

Our wedding garden! This beautifully landscaped space features a stunning gazebo, contemporary outdoor furniture, lots of lush greenery, fire pit tables and festoon lighting. The perfect backdrop for wedding photos and alfresco drinks in the sunshine!

What part of your business are you most proud of? 

Our team! We have a small, dedicated team, which means our couples experience a friendly, hands-on approach from their initial enquiry and showround appointment to their menu tasting, planning meetings and of course, the big day itself.

How do you feel technology is changing the industry?

Couples are planning their weddings online more than ever before. We have been making use of Facebook Live to host virtual tours and hosting monthly #wedminwednesday sessions to help couples along their wedding planning journey.

What is the one piece of advice you would give to couples that are currently struggling amidst the COVID-19 crisis?

We are in this together and and we will all get through this together. If you’ve had to postpone, it must be heartbreaking to move from your original date and to have to wait a bit longer for your wedding, but it will be so worth it. We want your day to be a day of celebration, love and special memories; focused on you (not coronavirus, that’s had enough attention!).

Tell us about yourself!

We have both worked in weddings for a couple of years now but have been in the hospitality industry our whole careers. In our free time, we love to read, go for walks and bake sweet treats!

What drew you to the wedding world?

There is something incredibly rewarding about making someone’s big day go smoothly. Seeing the happiness on the couples faces on the day when all of the planning comes together, knowing we contributed to that, it’s a great feeling.

An archway that is part of the building serves as a place for the ceremony.

What do you think make The Manor House unique?

We are so blessed to have the beautiful hotel and grounds that we do, but what makes us unique is our people. From housekeeping preparing the bedrooms to our chefs creating the perfect wedding breakfast, the whole team has a passion for creating exceptional guest experiences. Our couples will not only be provided with the highest level of service and great attention to detail, but character, passion and laughter along the way.

How do you get to know your couples before the big day?

We make sure we always take time to get to know our couples from the very beginning of their enquiry. It’s all about them. Taking the time to sit, have a coffee and a chat and learn about their story is so important. It also makes it so much more enjoyable along the way- it’s as if we are helping friends plan their wedding!

What is your #1 wedding planning tip for couples?

It’s all about you! Make sure that every decision you make is what you both want, try not to think about other people’s opinions too much. Enjoy the experience building up to the big day! It can pass by you in a flash so enjoy every single moment including all the planning.

What do you love about Bridebook?

All of it! It’s incredibly handy and easy to use. It helps us communicate effectively with all enquiries and helps the couples keep on track with their planning!

What’s the most memorable wedding you’ve had at The Manor House?

A summer wedding had a family fun day including dodgems and a carousel on our lawns – it was amazing!

Why not?! We have the most stunning location, amazing food and exceptional service so it really will be the best day of their lives.

What’s the best photo spot at The Manor House?

We have so many beautiful spots but our favourite is our entrance bridge over the Bybrook river that has a gorgeous shot of the whole of the Manor in the background.

What part of your business are you most proud of?

Definitely the people, we are like one big family. Everyone works incredibly hard and always supports each other.

How do you feel technology is changing the industry?

In terms of wedding planning, it is a game changer! There are so many apps, websites and companies that can help you now, it’s great! It takes away a lot of the stress.

What is the one piece of advice you would give to couples that are currently struggling amidst the COVID-19 crisis?

Firstly, I hope you are ok! We have seen first hand how the pandemic has affected couples, and made what should be a really enjoyable time, really stressful. Please just know we will be here to support you the whole way, and do whatever we can to help make it easier and as special as it can be.

Tell us about yourself!

I’ve been very lucky to have worked in the wedding world for almost 3 years and have enjoyed every second. I have a miniature dachshund called Rolo and a cat named Tabitha. I’m a massive foodie so enjoy going out for dinner and trying new places… I’m a sucker for a good cocktail too!

What drew you to the wedding world?

Honestly, I think the wedding world found me! My background has always been theatre and this is what I graduated from uni in, so I’d always expected to go straight into something related to this instead. After university, I worked as a comedy producer, organising monthly charity stand-up comedy nights. That was great fun and where my love for events planning begun — and shortly after, I found my passion… Weddings!

What do you think makes your venue unique?

For a start, the grounds of Lainston House are breathtaking… The photo opportunities are endless! The venue is rich with history too, with so many interesting facts and stories. What makes our space even more unique is the people. The team is made up of the most hardworking, dedicated and passionate individuals I’ve met… We’re like one big family!

How do you get to know your couples before the big day?

I will be in touch regularly, either by phone or email, and I love it when my couples do the same. I love to hear all about what you’ve both been up too, your holidays, you name it! It’s also great to see my couples in person and enjoy a cup of coffee together in the lead up to the wedding.

What do you think makes for the perfect wedding?

Picking things you both like, not just what you think others will like! After all, it’s your special day and you only do it once!

What is your #1 wedding planning tip for couples?

Begin thinking about your table plan early as this can sometimes be the hardest part to figure out, so this will take pressure off you… But most importantly, enjoy it!

What’s the most memorable wedding you’ve had?

We recently had a stunning tipi on our South Lawn which was breathtaking… The South Lawn is perfect for it! We’ve had a few singing waiters over the summer which are also so fun and a real surprise to all your guests.

Why should a couple book Lainston House?

We’re a beautiful, luxury, five-star manor house where dream days happen. By hiring out the venue exclusively, you can feel like royalty for the day, with your nearest and dearest around you. Local produce is super important to us so the majority of our suppliers will be local to either Winchester or Hampshire, with our onsite Kitchen Garden also growing our own produce. With 63 acres, the photo opportunities are endless — adding that “wow” factor for your guests and creating memories to cherish forever!

This is a tricky one as there are so many stunning photo spots… But outside on the terrace with the beautiful avenue of lime trees is a must!

What part of your business are you most proud of?

I couldn’t pick just one part as I’m proud of all departments at Lainston House who all help achieve dream wedding days!

How do you feel technology is changing the industry?

Technology is making it easier for couples to plan, especially wonderful platforms like Bridebook where you can plan your whole day. Wedding websites where your guests can RSVP and let you know dietaries and you can to give information quickly… What a great idea!

What is the one piece of advice you would give to couples that are currently struggling amidst the COVID-19 crisis?

Everything will come together in the end. After all, nothing can stop love! If you’re struggling at the moment, please do reach out to your venue or suppliers so they can help. You’re not alone.

Venue Showcase: Pennyhill Park

Pennyhill Park is a 19th century Mansion House that is surrounded by lily ponds, landscaped gardens and plenty of greenery whereas the inside of the hotel also provides stunning architecture.

We talked to Jodey Hatch, Wedding Manager at Pennyhill Park to find out more about this stunning venue.

Tell us about yourself!

I have been in the wedding industry for 9 years, pretty much my whole career. I love spending time with friends and family as much as I can, going out for meals, travelling and exploring anything new. I have one gorgeous black cat but if I had my way I would have many more and dogs too!

What drew you to the wedding world?

After leaving school I wasn’t too sure what I wanted to do, I thought some customer service experience would be a good start so I got a job waitressing at a hotel which included working at weddings. After a while I began running them operationally and knew I loved them and had to continue this as my career.  I finally got a role as a wedding coordinator and it has just snowballed from there.

What do you think makes Pennyhill Park unique?

Pennyhill Park is unique in many ways; however I do feel the people that work here is what stands us out from the crowd. We take time to get to know our couples, we understand this is the biggest day of our couple’s lives and when they spend months or even years planning this they expect the best.  We welcome our guests on that first showaround with a glass of bubbles and personalised sweet treats just to get started!

How do you get to know your couples before the big day?

Every couple is unique, which is one thing that makes me love my job so much! I find it’s important to listen to each couples needs and get to know them as an individual. They then get the chance to build trust with their dedicated event coordinator; this might be done with many visits to our bar over a cup of coffee or even when it comes to meeting the head chef to discuss their menus.

What do you think makes for the perfect wedding?

For me I think that a wedding that shows the couples personality have been the most perfect. Ultimately this day is about the two of you, so to put on little touches that represent you, are the perfect Weddings. You’re guests will absolutely love this as they are here to share this special day with you.

What is your #1 wedding planning tip for couples?

Try and keep it fun, it’s easy to feel stressed about the planning but this really should be the most enjoyable part! When it’s all over you will want to do it all over again and wish you had enjoyed it more.

What do you love about Bridebook?

It’s a really good tool to help us know what our couples are looking for before they have even come to see us. It’s also a great platform to let couples know about us as a venue and really showcase ourselves.

What’s the most memorable wedding you’ve had at Pennyhill Park?

One bride at Pennyhill Park did trust me with planning a very special surprise for the Groom; it was a group of storm troopers that were going to walk don the aisle! The Groom of course was a massive star wars fan and this was a complete surprise to him and all the guests. Everyone loved it and it was so memorable even all the team here wanted to come out and watch as when do you ever have a wedding with storm troopers walking down the aisle! All the guest were there waiting for photos with them, star wars fans or not it was a great talking point for the guests for the rest of the day.

Why should a couple book Pennyhill Park?

We have something for everyone, if it being fantastic food you are looking for then come meet our Michelin star chef and discuss your menus with our amazing team at the Latymer restaurant. If its luxury accommodation we have 124 individually designed bedrooms that will give all your guests that wow factor. Not to mention our stunning 120 acres of Parkland with ample photo opportunities for our couples to remember and look back on for years to come.

What’s the best photo spot at Pennyhill Park?

This is hard as there are so many good ones! But I have to say our secret garden is just wonderful photo opportunity for our couples. With its a running waterfall and wild flowers surrounding, it makes it feel like a bit of fairytale, which I think is what most couples are looking for on their big day.

What part of your business are you most proud of?

Another tough one, but we have an amazing team here who all strive on wanting the same thing of creating happiness in an amazing place. I honestly feel this is what our couples comment on most after their wedding day is how well they felt looked after, from the very first step through the door by our reception team, to meeting the chef at their menu tasting and to the fantastic team who personally look after their big day for them.

How do you feel technology is changing the industry?

I think the last 18 months have defiantly taught us a lot, opening us up to Zoom show rounds in times when we couldn’t see each other in person has been so beneficial for businesses and couples. It meant that wedding planning could still go ahead; giving couples something to look forward too.  I do find mainly we all much prefer to see each other in person, but this has given us the chance to even plan a few destination weddings now we are all up to speed with different technology tools available to us.

What is the one piece of advice you would give to couples that are currently struggling amidst the COVID-19 crisis?

Keep going, I can’t imagine how hard it must have been for couples but just keep planning. Keep in touch with your suppliers so they know your concerns so they know how to help you.

Venue Showcase: Black Horse Beamish (Red Row Estate)

We talked to Grace Fountain, the Venue Manager at Black Horse Beamish (Red Row Estate) to find out more this unique and contemporary venue.

Tell us about yourself!

We are a family owned business and have been proudly welcoming our guests for over 20 years. Although the original 300 year old pub has been in my family for over 20 years and I’ve grown up listening to conversations about it around the dinner table, I officially started working for the company 10 years ago. Since then the business and building have undergone an extensive refurbishment, expansion and development programme. In my free time I love to walk my dog around our glorious 40 acre sprawl, the stunning lavender field is one of the only in the North East, we have woodland riddled with wildlife and lots of farmyard antiques!

What drew you to the wedding world?

I always had a passion for hospitality and once I completed my degree there was no question where I was going to work. I’ve had the privilege of working in numerous different roles including wedding coordinator and have been able to grow as the business has grown, which I think has been a fantastic and unique experience. Red Row Estate is, in my opinion, one of the most beautiful areas of the North East so being able to market that and convert ideas into a reality is something I love.

What do you think makes your venue unique?

My colleagues are undoubtedly what makes our venue so special, we are a small close-knit team. The key to our success is planning, planning, planning! You have to be extremely organised, passionate, and have a keen attention to detail. One of the most important skills, which isn’t often taught in this industry, is to be an unofficial therapist, councillor and shoulder to cry on when needed. Weddings can be very emotional and stressful, and I pride myself on doing my upmost to put everyone’s mind at ease. Every wedding and special occasion is unique, and therefore every client relationship deserves as much time, attention and passion as possible so we can work together to make the big day perfect.

How do you get to know your couples before the big day?

Our coordinators have their own mobile and are on hand to call/text/whatsapp/email at anytime during your wedding journey with us, we feel this gives a lot of comfort to couples. By the end of the wedding journey we really feel like we have made lasting relationships with our brides and grooms. We seem to have the most wonderful couples that come back to visit time and time again.

What do you think makes for the perfect wedding?

Amazing food, an open bar tab, memorable entertainment and of course a beautiful ceremony where you are surrounded by your family, friends and loved ones.

What is your #1 wedding planning tip for couples?

It’s your day, so don’t be afraid to be a bit selfish when it comes to the guestlist, things like your menu choices, drink selection and seating plans.

What do you love about Bridebook?

I love how easy it is to navigate, shortlist and contact suppliers and venues. It really is like your own little black book!

What’s the most memorable wedding you’ve had?

Our first wedding was in July 2012 and since then enquiries have never stopped rolling in! Every wedding has its own special moment so it’s difficult to single out a particular wedding. Most recently being a part my sisters wedding in The Orchard Marquee was very special. It was lovely to be a guest for the day and it’s safe to say she went all out making good use of our extensive list of local supplier contacts.

What part of your business are you most proud of?

Our customer service to couples and guests. We pride ourselves in investing in our team to make sure we have only the best set of people to look after you on your journey with us. Our wedding team have a wealth of experience hosting weddings meaning you’re in very capable hands.

How do you feel technology is changing the industry?

Technology has transformed how we now work and we have had to fully embrace new technology during the past 18 months of Covid. It has been an essential part of improving and streamlining our customer journey from the initial enquiry to ease of booking venue viewings. Zoom calls and facetime have enabled us to continue showing couples our beautiful venue and even resulted in couples booking from as far field as Dubai after only viewing on facetime.

What is the one piece of advice you would give to couples that are currently struggling amidst the COVID-19 crisis?

Have faith, your dream day will happen despite all the setbacks and remember why you are getting married.

I have been in the weddings world for over 5 years! In my spare time I love to binge watch my favourite series on Netflix (I may or may not be able to re-enact every episode of friends… oooops!) I love socializing with friends & family, hitting the best brunch spots and exploring new places.

What drew you to the wedding world?

How personal it is! The feeling of making couples dream wedding days a reality is what sold it. Seeing the look on a couple’s face when they walk into the venue will never ever get old.

What’s the most memorable wedding you’ve had at 41 Portland Place?

This is a hard one as we have seen so many memorable weddings! I remember a summer wedding which was hosted on the tranquil terrace which just oozes sophistication and is the perfect spot to enjoy a refreshing summer cocktail with friends & family shaded from the sun by gorgeous olive and eucalyptus trees. By night, the space transforms into a fairy light lit oasis in the city. The client opted with a relaxed family feasting BBQ style menu followed by an interactive dessert station, a chef’s favourite!

Why should a couple book 41 Portland Place?

For this, I would say actions speak louder than words and have a look at testimonials! However, knowing their wedding contributes to the Academy of Medical Sciences charity which is funded research to improve health which is more important now than ever, is an incredible thing to know. Venue Showcase: Plas Dinam Country House

We talked to Louise Edmunds, the Wedding Coordinator at Plas Dinam Country House to find out more this unique and amazing venue, set at the foot of glorious Welsh hills with spectacular views

Tell us about yourself!

I am relatively new to the Wedding Industry but my previous experience was working in Hospitality in the UK and France. I have had a great summer with Plas Dinam as wedding coordinator, loved every minute of it, and can’t wait for next year. I am a big outdoor lover and when possible will be out running, mountain biking or trying new wild swimming spots. During the winter I try to fit in a ski trip, and get back out in the snow. A few years ago I also joined the Army Reserves, so throughout the year I spend a few weekends training with them. I am expecting my first child in a few weeks, so trying to get ready for the next life adventure!

What drew you to the wedding world?

I absolutely love the creativity of the wedding world, and I was lucky enough to find a job at a venue that is unique in what it offers to couples as well as being a beautiful place to work. It is great to work with couples from day 1, from when we show them around to their wedding day. It is such an exciting time for them and all the positive energy is in abundant on the day, you can’t not be happy doing this job. I love to the see the flower creations, the food menu choices and especially the chosen wedding dress and outfits. Every wedding is different.

What do you think makes Plas Dinam Country House unique?

It is a family business and we want every couple to make it their own. We encourage them to use all the grounds and space at Plas Dinam, from the beautiful glass roof stables to the tennis courts and the secret lake for wild swimming. It is like renting a big home for a family holiday as well as getting married at the same time. We have fire pits, a pizza oven and BBQ, to croquet on the lawn. There is plenty of space for the couples and guests to explore and really settle into the house for a few days. From Day 1 of showing the couples around our venue I work with them to help with the planning of their day. I am there on the day to make sure it all goes smoothly, they don’t have to think about anything, and just enjoy it.

How do you get to know your couples before the big day?

I love getting to know the couples and their families, and we love to show them around as much as possible. I am always on hand via emails and zoom calls. We will do a planning meeting at Plas Dinam a few months prior to their wedding day so they get to look around a final time before coming back to get married. This can normally be combined with their food tastings which happens in the Stables, and is a great time for them to really feel like their wedding is happening.

What’s the most memorable wedding you’ve had at Plas Dinam Country House?

The couples getting married make it memorable. Their personalities and their ideas that they put into the day really make it for me. Our first wedding in June this year was very memorable, they had postponed 3 times due to covid and we were so excited for them to be getting married. They were such a fun couple, they had great friends and family with good chat, and all loved to party.

Why should a couple book Plas Dinam Country House?

So the couples can spend a few days with their friends and family staying in a large Country House, relaxing, eating, drinking and getting married. They have the whole grounds exclusively to themselves and a beautiful glass roof stables to hold their wedding meal and party. They can arrive and completely make it their own. No pressure from anyone, it is their day and they can have it how they want.

How do you feel technology is changing the industry?

We have seen the increase of virtual tours since covid-19, but it is a positive- being able to offer a tour over zoom from the couples comfort of their lounge has been wonderful. We have been able to give them a real view of the venue and grounds, they can ask all the questions and still come away wanting to book with us.

What is the one piece of advice you would give to couples that are currently struggling amidst the COVID-19 crisis?

It is super tough having to postpone or not know if it will go ahead, but we are on hand to support you. We can help with any suppliers, and assist in finding new dates. It is still your wedding day so we want it to be special, and being able to spend it with family and friends is so important. Do not take too much stress on, relax, and it will happen.

Essential questions you should be asking your couples in 2018

We know it can be difficult to squeeze in all of the essential things you absolutely must do to fulfil your role as wedding supplier.

But did you know that setting aside just a few minutes to ask your potential and existing clients the right questions at the right time is one of the most important and impactful things you can do to help grow your business?

Your most powerful source of knowledge is your consumer base – that is, your couples.

The insights you garner from clients and from losing potential clients can really make or break your future as a wedding industry professional.

So here’s our essential guide to the questions you need to be asking your couples and at which stage of their wedding planning journey.

 

Stage 1 – enquiry received

Send the couple an email thanking them for their enquiry, congratulating them on their engagement and inviting them to discuss their requirements in further detail. You can do this in the form of a wedding venue visit or by scheduling in a Skype or phone call to, for example, understand what the couple like about your wedding business and to talk them through your portfolio.

Tip – although email is the preferred form of communication for 88% of wedding planning couples, try to initiate a face to face conversation or phone call after you’ve received their enquiry. Half of couples say that they prefer in-person contact with the wedding suppliers they choose to use.

Not all wedding suppliers are good at doing this.

How professional will you look and how much will you stand out against the competition if you ask to meet the couple to discuss cake designs or insist on a phone call to introduce yourself as the couples potential wedding decorations supplier?!

Set the bar for excellent service and fantastic communication early on.

 

Stage 2 – after the venue visit or initial introduction

So you’ve met the couple face to face or at least spoken with them over the phone.

You should have gathered all essential information such as both of their names and contact details, and established when the couple are looking to get married (this is important regardless of whether the couple choose to use your services or not, as it enables you to track enquiry volume against seasonality).

A day or two after the visit or post-enquiry discussion, email the couple to follow up and express how much you’d like to work with them.

If it’s a yes…

If you receive positive news from the couple and they choose to use your wedding services, send them an email expressing how pleased you are to be able to help them create their dream day.

Here are some real examples of questions you could then ask your new clients, courtesy of the wedding venue Hedsor House:

  1. What made you choose Hedsor House?
  2. What were your favourite and least favourite things about Hedsor House?
  3. Did you feel that pricing was good value at Hedsor House?
  4. What other wedding venues did you consider along with Hedsor House? How did it compare to these other venues?

If it’s a no…

If you receive a rejection from the couple and they let you know they’ve chosen another wedding venue or supplier, you could ask:

  1. Which wedding venue did you choose in the end?
  2. What were your reasons for choosing this wedding venue over Hedsor House?
  3. If you could do anything to improve or change Hedsor House and make it your ideal wedding venue, what would it be?

If it’s gone quiet…

If you don’t hear back from the couple after a week or so, you could email them to say:

We hope Heacham Manor is still in the running to be your wedding venue however if you have chosen not to hold your special day with us, we’d love to know which venue you did eventually choose, and what the deciding factor was?

It’s important that you learn from the ‘no’s’ and try to understand why couples don’t choose your wedding services. This knowledge can and will help you convert more enquiries into bookings in future.

Stage 3 – post wedding

Once your journey with the couple has come to an end and you’ve contributed toward delivering their dream wedding day, you can ask for final feedback and a review direct on your Bridebook profile – just share your link!

Tip: wait at least two weeks before asking the couple for feedback as they are going to be on a wedding high and you don’t want to seem inconsiderate. 

Here are just some of the questions you can ask a couple after their wedding day (pick a handful that work best for you and your wedding business):

  • How would you rate your overall experience?
  • How well was your initial enquiry dealt with?
  • Do you remember who you dealt with?
  • Would you agree that the website is easy to navigate and understand?
  • When choosing us which other wedding venues made it on to your shortlist?
  • What was the deciding factor that made you choose us?
  • How would you rate the event staff on the day?
  • Which caterer did you choose?
  • How would you rate your caterer?
  • Were you happy with the service you received from your suppliers (both recommended by us and others)? Please do give us details if any failed to meet your expectations or exceeded them…
  • Would you recommend us to friends/family/colleagues?
  • Would you use us for future events?
  • Did you stay overnight with us? If you did stay overnight with us, how would you rate our guest accommodation?
  • What was your favourite thing about your experience with us throughout your wedding planning journey? What was your least favourite part of your experience?
  • What would you improve about our wedding business?
  • Would you be interested in appearing on our website in a Real Wedding feature?
  • Is there anything else you’d like to tell us?
  • We’d love to hear if we did a particularly great job or if there’s anything we can improve on…
  • Are we able to share the content of your responses for marketing purposes?

Ask the right questions at the right time in the right way.

How you ask your couples these questions is up to you.

We recommend using a simple survey tool like Typeform or Survey Monkey. Alternatively, start with an email and follow up with a phone call or face to face meeting. But remember to be flexible in communicating with the couple in the way that suits them best and works well enough for you.

Don’t ask too many questions and make sure you revisit the answers regularly and really use the insights these answers provide to help drive your wedding company forwards.

Ultimately, it’s essential for you to remember how important the answers to these questions are in helping your wedding business grow and develop.

7 trends wedding suppliers need to know about Millennial couples in 2018

The UK wedding market is jam-packed full of Millennials. Fact.

 

In fact, out of the 250,000 weddings per year in the UK the vast majority of couples are aged between 25-39 (aka Millennials). Source: The UK Wedding Report 2018 by Bridebook.co.uk.

And those digitally devoted information absorbers are now demanding a different approach from wedding suppliers. They’re looking for an altogether more open wedding market. They want you to overshare examples of weddings you’ve worked on – but don’t hound them or they’ll swipe left.

They might not have tons of time for you but they sure as hell want you to lay all of your cards on their perfectly designed wedding breakfast table.

So here’s the rundown of exactly what engaged and soon-to-be-wed couples of today expect from their wedding entourage for the approximate 20 months that they’ll be engaged and working with you…

1.Be online when your couples are

 

Unsurprisingly, the most popular time of the week for wedding planning is after work, with 63% of couples stating that evenings were the time they were most likely to be online.

Bridebook has discovered that the majority of enquiries are sent between 7pm-9pm so as a wedding supplier, you need to be active at these times. And of course the faster you are able to respond and interact with these enquiries the higher your conversion rate will be.

Where possible, keep an eye on your inbox over the weekend as Saturday (40%) and Sunday (37%) also show higher than average wedding planning activity.

 

2.Contact couples in the right way

For yet another year running, email is the preferred method of communication for initial enquiries (85%) and ongoing contact (88%) between couples and suppliers.

Interestingly though, half of couples also want in-person contact with the suppliers they’re working with.

However, you choose to answer your initial enquiry, remember to ask your couples how they would like to be contacted from there on and ask when is best for them in case evenings and weekends don’t suit.

 

3.Never underestimate the importance of reviews and recommendations

For yet another year running, couples have rated reviews and recommendations from friends and family (71%) as the most valuable source of information when booking wedding suppliers.

It is now more important than ever that you showcase your past work and triumphs wherever and whenever possible because 76% of couples read 8 or more reviews before booking a wedding supplier.

More specifically, 59% of couples said that they wanted to read online reviews from couples you’ve worked with in the past before making a decision on whether to contact you.

4.Understand how couples are choosing to spend their wedding budget

Did you know that the national average wedding spend in the UK in 2017 was £17,913 – excluding honeymoon? In London, this figure rises to £31,837.

So what are these big spending Millennial’s actually doing with their wedding budget?

The good news is that the money being spent on suppliers has increased by an average of 12% year on year. Consider this when reviewing your prices and ensure that you’re still pricing competitively and are not underselling your services by pricing too low.

Marquee hire (24%) food and drink (23%) and venue dressing (22%) are areas of spending that grew the most year on year.

5.Couples need interaction

The wedding industry is an unknown for most couples when they first dip their toe in our world and as such, we should be willing to guide them through the process.

 

This is the most important day of their lives and they are spending a lot of money so you have to prove your worth and show them that your business is worth investing in from the get go.

Be their friend and their partner throughout the wedding planning process. By communicating in the right way and offering the right kind of advice without being pushy you’ll ensure that couples have confidence in you and trust your expertise.

 

6.Couples depend on your photos

It is so important that you show couples what you do and what you offer with real, visual examples.

Keep your website and Bridebook profile up to date with the latest and greatest photos from weddings you’re most proud of.

Wedding venues – make sure that you’re showcasing great quality external and internal photos. If you aren’t blessed with acres of glorious grounds take photographs of other assets that surround you – whether rolling countryside or big city hotspots.

Makeup artists, wedding stylists, florists – photograph your work yourself and ask photographers and videographers for permission to use a couple of their photos or stills from the day (remembering to credit them).

Try to evoke a “that could be us” feeling with every visual you share.

 

7.Diversity is important to Millennial couples

Diversity is a problem that we are facing in the industry and we as suppliers should be tackling it head-on.

We live in one of the most diverse countries in the world and to ignore that is to ignore and potentially offend your potential customers.

As a start, be gender inclusive and try not to use phrases such as ‘normally a bride and groom have this or do that’. Consider your use of ‘bride and groom’ in the content you write and speak, using the term ‘partner’ or ‘couple’ instead.

We should be making every couple feel confident, comfortable and unique.

How Penton Park transformed into a wedding venue

Welcome to this Bridebook interview, featuring Danielle Rolfe of Penton Park.

This piece is designed to inspire other wedding suppliers – budding or current – and help them to realise that they can do something as wonderful and as huge as turning a beloved home into a UK renowned wedding venue.

Penton Park – the story 

Danielle Rolfe traded in a career as a London Insurance Broker for a new life as Lead Events Manager at the glorious Penton Park.

Oh, and did we mention that this wedding venue also happens to be her family home?

As we introduce ourselves to Danielle it becomes clear that she’s a very busy woman indeed. We’re on loudspeaker as Danielle drives into her estate and just as our interview gets going, we’re interrupted by a fallen tree.

“Do you mind terribly if we pick this back up in half an hour?” she says. “I’m going to have to drag this tree out of the road”.

What a wonderful, real-life example of the multifarious nature of wedding venue management!

And by her own admission, despite the long hours and hard work involved in managing a wedding venue, Danielle loves her new life in wedding venue management and would never look back.

 

Bridebook: Danielle, do you remember how you and your family first came up with the idea of turning your home into a wedding venue? Tell us your story…

Yes, I remember it well!

In 2011, myself and my husband married in the local church and held a traditional wedding reception at our home in Penton Park.

I think it was only then that we realised what an amazing wedding venue it was and our guests said exactly the same. It had the real wow factor and made for such a memorable day.

We started hosting birthday parties, anniversaries and charity events at first, and we found that we really enjoyed it and that the house was well suited to catering to such events.

We soon began to think about weddings at Penton Park. We wanted to find a way to use the property as a self-generating revenue stream and to future-proof our income – a big house requires a lot of maintenance and upkeep after all.

In 2013 we decided to officially go for it with weddings!

I spent a lot of time learning the ropes and deciding on how we’d integrate weddings into family life, and vice versa. We decided to make Penton Park an exclusive venue, hosting only 20 Saturday weddings per year. This ensures that we never fall short on customer service and that we keep some weekends free for family life.

After a prolonged wait for approval of an on-site wedding licence, we finally began hosting wedding ceremonies at Penton Park in 2016 – having already dipped our toes in the ‘wedding reception only’ field.

What our guests love about Penton Park is that they really are hosted by a family here, and in turn, my family and myself live and breathe the venue.

 

Bridebook: Were all family members in equal agreeance when you suggested the idea of turning your family home into a wedding venue?

Absolutely yes. Everyone was fully in agreement and excited to get stuck in.

We all have separate wings in the house and there’s a separate exit and entrance for family and for events, so it works really well.

The grandparents sometimes treat themselves to a night away when we host weddings, and at other times they love being around to soak up the atmosphere – albeit from the comfort of their own quarters!

Our children are completely used to it and it doesn’t faze them at all. I like to hope that they’ll be the next generation of wedding planners and I know for sure that they’ll someday, not too far away, be an imperative source of market research for us! They’ll be telling us how we should be doing weddings to suit their generation, and they’ll help us keep evolving and stay current as a wedding business.

 

Bridebook: What was it like to go from family home to wedding venue!?

Well, I guess one of the challenges was making sure that we’re presentable at all times – that is, the house and everyone in it!

We have three girls so it’s inevitable that a stray Barbie will make it in the shot at occasional meetings.

We just assure couples that on the day, there will be a professional clean and that they have nothing to worry about as far as Barbie is concerned.

Turning our home into a wedding venue hasn’t really disrupted life at all. We started gradually and have grown into it.

The concept grew with our experience and the number of weddings we host.

The first wedding we held was really emotional. My husband and I were so proud of everything we’d managed to do, and it also brought back memories of own wedding day.

Everyone’s in such a great mood at weddings it’s impossible not to feel elated at each and every wedding we host at Penton Park.

 

Bridebook: Do the family cats and dogs stay to help out at Penton Park weddings?

They do. We try to hide the dog away as he’s a huge friendly giant but he has been known to make some guest appearances at the couple’s request!

We have two cats and they’re slightly more difficult to hide. They often make guest appearances and actually once joined a group of guests in the photo booth!

It’s these kinds of things that make it feel like a family home and that’s what Penton Park is all about. We want to keep that feel of a family home, not fall into hosting cookie cutter weddings.

Bridebook: What does a typical day of wedding prep look like at Penton Park?

We always set up the day before and aim to have everything done by 2pm. The couple have complete freedom to visit us the day before for peace of mind, and then we wave them off and tell them we’ll take care of everything.

Weddings at Penton Park finish at midnight. We clear up for them the next day and they then return to pick up their stuff.

 

Bridebook: Are couples able to personalise their wedding day entirely at Penton Park or are there limitations as to what they can / cannot do?

Couples are free to personalise their day almost exclusively. We are happy for them to take down pictures and most decorations, but we cannot move any of the larger wall hangings. That’s purely logistics as some are pretty huge!

But we always say this is a country house and so couples choosing Penton Park will do so because they love the charm and character that comes with that.

That being said, couples are welcome to put their own pictures and decorations up.

We’re very much present as background staff to help bring wedding themes to life. We’ve had formal and informal, inside and outside.

Bridebook: Have you ever had to step in and stop any bad behaviour at a wedding? Is security something you manage yourselves?

We sometimes have to reign it in slightly as things can get a bit raucous toward the end of a wedding, as we all know.

We had all guests around the pool table with sambuca in their hand recently so had to politely request that they step away! But people are so respectable because they know it’s a family home.

If we host a wedding of over 100 guests we do insist that they hire security, just for peace of mind.

 

Bridebook: What advice would you give others looking to start a wedding business like yours?

Network

I’d say it’s really important to network with other venues – whether they’re similar to your venue or completely different.

We’re part of the Historic Houses network and I attended a lot of seminars at Hodsock Priory and some at Iscoyd Park, where I received lots of support and advice.

You do have to be a member but any country house hosting events of 100+ people are eligible and it’s really great for networking.

I’d say my strongest advice with regards to networking is don’t be afraid to pick up the phone to venues nearby. I contacted a barn style wedding venue near me and because we’re really different we may be able to help each other out. If I meet a couple who are looking for more of a barn style wedding, I’ll recommend them.

Be supportive and work together. If you only have similar style wedding venues nearby, pick up the phone and ask; how do we stand apart from each other? Identify what it is that each of you does differently as it will work in both of your interests.

Shadow weddings at other venues to see what it’s like before you transform your home into a wedding venue. It’s hard work. You’ll work harder than you ever imagined but if you’re anything like me, you’ll find it so rewarding.

I must say that you can’t quite comprehend what 120 drunk people are like until you see them with your own eyes.

Invest in your team

Invest in your team because they represent you from start to finish – they’re an extension of your in-house family.

We have an in-house event manager and she’s fantastic. We also use preferred suppliers as we like to recommend wedding professionals who we know can do the job well, first hand.

 

Bridebook: Do you think more families are choosing to turn their homes into wedding venues or is it still an unusual concept?

I see and hear of a lot more people doing it now.

Some mistake it as being an easy route to making money but we know first hand that it’s hard work but also a lot of fun.

It’s a lifestyle. It will, of course, impact your weekends. We only host 20 weddings per year but we also offer viewings at weekends which take up a considerable amount of time.

Bridebook: Have you noticed any changes within the wedding industry of late?

I’ve been surprised in the past 18 months how many people will come and view your home/venue at a weekend and you’ll never hear from them again.

They never get back in touch.

It just didn’t happen in the beginning when we were first starting out.

People seem a little more blase about the whole experience and I think perhaps they forget that we’re real people and we invest ourselves emotionally in their journey too.
